How to move your dog grooming clients from paper or a spreadsheet to an app
Moving your client list to an app is mostly a cleaning job. Do it once, carefully, and the app starts out useful instead of cluttered. Here is a step-by-step way to move from paper or a spreadsheet without losing anyone.
1. Decide what you actually need to keep
Open your list and mark the clients you groomed in the last year or two. Old contacts can go to an archive file instead of cluttering your new system. Keep the history you will really use: coat notes, the last clip and the gate code.
2. Put it in one clean table
If your records are on paper, type them into a single spreadsheet. Use one row per dog, and repeat the household details on each row so a family with three dogs has three rows. A good set of columns:
- Household or contact name, phone, email.
- Address and access notes.
- Dog name, breed, coat and age.
- Preferred interval (for example every 6 weeks) and the last visit date.
- Notes.
3. Clean the common problems
- Merge duplicates: the same person written two ways.
- Make phone numbers look the same.
- Fix dates so they all use one format.
- Remove blank rows and notes that are really reminders to yourself.
4. Import a small batch first
Whatever tool you use, try ten clients before you do all of them. Check that names, addresses and dates landed in the right place. A preview that shows what will be imported, and lets you fix problems before saving, makes this far less stressful.
5. Keep your old file until you are sure
Run both for a couple of weeks. Book new visits in the new tool and use the old file only to look things up. When nothing has been missing for a while, archive the old file somewhere safe.
Where GroomSolo fits
CSV import with a preview and fix-before-save is already in the GroomSolo app preview. The app is in development and not available yet. To see what a good client record contains, read the intake form checklist.
